What this covers

This policy explains what we collect through rootcausesoncology.com, how we use it, and the choices you have. It covers this website, our text message program, and the forms on it.

It does not cover the medical records of established patients. Information created in the course of treatment is protected health information and is handled under our Notice of Privacy Practices, which you receive when you become a patient.

What we collect

• Your mobile number, if you enter it to receive alerts about our Instagram Live sessions.
• Your name, email, and phone number, if you book a call or write to us.
• Scheduling information, when you book through our scheduler.
• Usage data, such as pages viewed, approximate location derived from IP address, browser type, and referring site.

We do not ask for health information on this website, and we ask that you not send it through our forms or by text. If you do, we will handle it with care, but ordinary email and SMS are not secure channels.

Text messages

The text program is mostly one thing: telling you when our physicians are going live on Instagram so you can bring a question. Once in a while we'll send other news from the practice.

Consent

By submitting your mobile number, you agree to receive recurring automated text messages from Root Causes Oncology. Consent is not a condition of purchasing anything or of receiving care.

Frequency and cost

Roughly one message per Live session, plus the occasional other update. Message and data rates may apply, depending on your plan. We do not charge for the messages.

Opting out

Reply STOP to any message to stop receiving them. Reply HELP for assistance, or contact us at oncology@rootcauses.com or 210.468.3042. Carriers are not liable for delayed or undelivered messages.

What we don't do with it

We do not sell your number, and we do not share your mobile number or SMS consent with third parties or affiliates for their own marketing. We share it only with the messaging provider that delivers the texts on our behalf.

This number does not take questions

The program is one-way. The number sends announcements; it does not receive questions. Anything texted to it gets an automatic reply pointing you to the Live session or to our phone number, and we delete inbound messages on a short cycle. Bring your question to the Live itself, where our physicians answer them directly.

How we use what we collect

• To send the alerts you asked for.
• To respond to you, and to schedule and prepare for a call.
• To understand which pages are useful and improve them.
• To meet legal and recordkeeping obligations.

Service providers

We use a small number of vendors to run this site and reach you. Each receives only what it needs:

• Netlify — website hosting and form submissions.
• Zoho Bookings — scheduling.
• Google Analytics — aggregate usage measurement.
• Our SMS provider — message delivery.

We do not sell personal information, and we do not permit these vendors to use your information for their own purposes.

Analytics and cookies

We use Google Analytics to count visits and see which pages get read. It sets cookies and collects an approximate location and device type. It does not tell us who you are. Most browsers let you block or clear cookies, and Google offers an opt-out browser add-on.

Remembering how you found us

When you arrive, we record how you got here — a search engine, a link in a newsletter, a podcast episode page — and keep it in three cookies on your device for up to 180 days. If you later book a call, that note travels with the booking so we know which of our efforts actually help people find us. It holds a channel name, not anything about you, and we do not use it to build a profile or share it with advertisers. Clearing your cookies removes it.

Your choices

• Reply STOP to leave the text list at any time.
• Ask us what we hold about you, or ask us to delete it, by writing to oncology@rootcauses.com.
• Decline analytics by blocking cookies in your browser.

Depending on where you live, you may have additional rights over your personal information. Write to us and we will honor them.

Retention and security

We keep contact information for as long as you want to hear from us, and as long as any legal obligation requires. We use reasonable safeguards, but no method of transmission over the internet is completely secure.

Children

This site is not directed to children under 13, and we do not knowingly collect their information.

Changes

If we change this policy, we will update the effective date above. Material changes to the text program will be disclosed before they take effect.
